CRM Software Cost in India for Small Business: The Short Answer

Budget Rs. 500 to Rs. 1,500 per user per month for a simple sales CRM in 2026, Rs. 1,800 to Rs. 6,500 per user per month for a full suite, Rs. 999 to Rs. 4,500 a month flat for a WhatsApp first CRM, and Rs. 3,50,000 to Rs. 12,00,000 one time for a custom build. A five person sales team normally lands between Rs. 4,000 and Rs. 9,000 a month before GST.

That is the sticker price. The amount that actually leaves your bank account is usually 30 to 60 percent higher once you add implementation, data migration, the add on module nobody mentioned, and the weeks your team spends learning the tool instead of selling. This guide prices all of it in rupees, with the traps written down.

The Three Pricing Models, and How Each Behaves as You Grow

Nearly every CRM quote in India takes one of three shapes. They look almost identical at three users and behave completely differently at thirty. Pick the wrong one early and you either overpay for two years or hit a wall exactly when the team starts working.

Per user per month, the default

You pay for every seat, every month. It is cheap to start and it scales in a straight line, which is a polite way of saying it never stops growing. At Rs. 1,200 a seat, three users cost Rs. 3,600 a month and thirty users cost Rs. 36,000 a month, which is Rs. 4,32,000 a year. Watch two things. First, whether support, operations and accounts staff need paid seats, because in most tools they do. Second, the annual list price increase, running at 8 to 15 percent across the major vendors.

Flat plan, unlimited or capped users

Several India first vendors sell a flat monthly fee, often Rs. 10,000 to Rs. 16,000 a month, with unlimited or generously capped users. This is poor value at three users and very strong value at thirty. The crossover usually sits somewhere between nine and fourteen users. WhatsApp first tools are also mostly flat priced, but with a seat cap and a separate message bill you pay to Meta, so read both lines before you compare.

One time custom build

You pay Rs. 3,50,000 to Rs. 12,00,000 once, own the code and the database, then pay only hosting and maintenance, typically Rs. 5,000 to Rs. 15,000 a month. Headcount does not change the price at all. The catch is that you have bought a product, not a service, so every future change is a fresh quote and every bug is your problem to schedule. A custom software build earns its cost when your process genuinely does not fit any product, not when you simply dislike monthly bills.

Two things people miss. A WhatsApp first CRM always has two bills, the platform fee and Meta’s per message charge, which in 2026 runs roughly Rs. 0.75 to Rs. 0.85 for a marketing message and about Rs. 0.11 to Rs. 0.15 for a utility message. Ten thousand marketing messages a month adds close to Rs. 8,000 on top of the subscription. Second, unlimited users almost never means unlimited automation runs, storage or API calls.

From 3 Users to 30: Where the Maths Flips

Take a Pune trading business that started with three people and grew to thirty over four years. On a Rs. 1,200 per seat plan, the annual bill moved from Rs. 43,200 to Rs. 4,32,000 without one extra feature being switched on. On a flat Rs. 13,000 a month plan, the same growth cost Rs. 1,56,000 a year at both ends. On a custom build, Rs. 96,000 a year of hosting and support in both years.

The rule of thumb that has held across dozens of quotes is simple. Under eight seats, per user pricing wins on cash flow. Between eight and eighteen seats, flat plans start to win. Above roughly twenty five seats with a stable process, ownership beats rental. Do not buy for the team you have today if you are hiring six people next quarter, and do not buy for a thirty person team you only hope to have.

What Actually Pushes the Bill Up

The subscription line is the honest part of the quote. Everything below is where the surprises live.

Seats, storage and record limits

Most Indian SMEs buy for the sales team and then discover that accounts, dispatch and the founder all want logins. That is three more seats nobody budgeted. Storage is the other quiet one. Entry plans ship with 1 GB to 5 GB per user, and a team attaching quotations, site photos and PDFs burns through that in a year. Extra storage costs Rs. 400 to Rs. 900 per 10 GB per month.

Automation caps, API access and integrations

Workflow rules, scheduled reminders and auto assignment are usually capped by plan, not by fairness. Ten workflows sounds like plenty until you write your third follow up sequence. API access is often locked to the second or third tier, which matters the day you want website forms, Tally or IVR call logs flowing in automatically. Budget Rs. 15,000 to Rs. 60,000 one time per connected system, plus any connector subscription.

Onboarding, migration and training fees

Implementation packages in India run from Rs. 15,000 for a light setup to Rs. 2,50,000 for a full suite rollout with custom fields, roles and reports. Data migration from spreadsheets and an old tool is usually Rs. 10,000 to Rs. 75,000 depending on how dirty the data is, and it is always dirtier than you think. Training is Rs. 5,000 to Rs. 15,000 per session. Get all three quoted in writing before you sign, not after.

Annual versus Monthly Billing, and the Lock-in You Are Signing

Annual billing typically saves 15 to 25 percent, which is real money, but you are buying a year of certainty for the vendor and a year of commitment for yourself. For a first CRM, pay monthly for the first three months even at a premium. The extra Rs. 3,000 you spend is the cheapest insurance available against a tool your team refuses to use.

Before you commit for a year, ask three questions and keep the answers in email. Can you export all contacts, deals, notes and file attachments yourself, in CSV, without a support ticket? How long is your data retained after cancellation? Are you locked in mid term if you downgrade seats, or only if you cancel outright? Vendors who answer these clearly are usually worth staying with anyway.

GST, Input Credit and What the Sticker Price Hides

Every Indian CRM invoice carries 18 percent GST. A Rs. 15,000 monthly plan is really Rs. 17,700 leaving your account. If you are GST registered and the vendor issues a proper tax invoice with your GSTIN, you claim that back as input credit, so the true cost stays Rs. 15,000. If you are not registered, or you never gave the vendor your GSTIN, 18 percent is a permanent cost.

Foreign vendors billing in dollars add two problems. You pay currency conversion and a card cross border fee of roughly 2 to 3.5 percent, and reverse charge rules may apply on the import of service, which your CA has to handle. A plan advertised at USD 25 per user is not Rs. 2,100. After conversion, fees and GST treatment it behaves like Rs. 2,500 to Rs. 2,700. Give your GSTIN at signup, because most vendors cannot add it later.

The Hidden Cost Nobody Quotes: Your Team’s Time

This is the line item that decides whether the project succeeds, and no vendor will ever put it in a proposal. A CRM is only worth what gets entered into it, and entering things takes hours from people you are already paying.

The adoption bill, in rupees

A realistic rollout for a ten person team costs about 40 hours of a manager’s time to design fields, stages and reports, roughly 3 hours per user of training, and another 20 hours over the next month chasing people to update records. At a blended Rs. 500 an hour, that is close to Rs. 45,000 of internal cost in the first quarter, on top of every invoice. It is not wasted money, but it is real money and belongs in your budget.

What you should get at each tier

If a vendor is charging you at a tier, these are the things you should refuse to pay extra for.

Three Year Total Cost: SaaS versus a Custom Build for 10 People

Here is the comparison most vendors avoid. Assume a ten person team on a mid tier plan at Rs. 1,500 per user per month, growing to fifteen people by year three, with a modest 10 percent annual price increase and Rs. 3,000 a month of add ons.

  • SaaS year 1: Rs. 1,80,000 subscription, Rs. 36,000 add ons, Rs. 40,000 onboarding and migration. Total Rs. 2,56,000.
  • SaaS year 2: 13 seats at Rs. 1,650, plus add ons. Total about Rs. 2,99,000.
  • SaaS year 3: 15 seats at Rs. 1,815, plus add ons. Total about Rs. 3,75,000.
  • SaaS three year total: roughly Rs. 9,30,000 before GST.

  • Build: Rs. 6,50,000 one time for a solid ten to fourteen week project.
  • Hosting, backups and monitoring: Rs. 6,000 a month, so Rs. 72,000 a year.
  • AMC and changes: Rs. 1,20,000 a year from year two.
  • Custom three year total: roughly Rs. 11,05,000 before GST.

Read that honestly. At ten to fifteen users, custom is about Rs. 1,75,000 more expensive over three years and carries far more delivery risk. It only pulls ahead in year four or five, or immediately if you are already past twenty five seats. Anyone who tells you a custom CRM saves money at ten users is selling, not advising. The genuine reasons to build are process fit, data ownership and the ability to wire it into your existing systems, which is the same logic behind choosing a custom coded website over a template.

When a Spreadsheet Is Genuinely Still Enough

Some businesses should not buy a CRM this year, and we say this after refusing the work more than once. Stay on a shared Google Sheet if you have two or three people selling, fewer than about forty open opportunities at any time, one sales stage that everyone already understands, and no handover between team members. At that size a CRM adds admin without adding revenue, and you will spend Rs. 60,000 a year to feel organised.

The moment to switch is behavioural, not financial. You need a CRM when a lead has been dropped because nobody knew whose it was, when the founder cannot answer what is in the pipeline without ringing three people, when a salesperson leaves and takes the follow up history in their phone, or when you have more than about eighty live conversations running. Until one of those is true, spend the money on getting more leads instead of organising the few you have.

How to Run a Two Week Pilot Before You Sign Anything

Never sign an annual contract off a demo. A demo is a rehearsed film of somebody else’s data. Run a fourteen day pilot with real leads instead, and the decision makes itself.

Shortlist two tools, no more than three. Pick one real pipeline and two salespeople, and import 100 genuine leads, including the messy ones with missing phone numbers. Insist on the exact fields and stages you use today, not the vendor’s default. Then run everything through the tool for two weeks with the old sheet frozen. At the end, check four things: minutes per day on data entry, how many follow ups fired on time, whether the owner can pull a pipeline report unaided in two minutes, and whether both salespeople still log in unprompted.
