Cafe Website Design

Almost nobody types a cafe name into Google as a first move. They see a reel, a friend’s story, or a pin on Maps while they are already out. The website gets opened second, usually one-handed, on mobile data, with the person standing on a footpath deciding whether to walk another 400 metres. That is the whole context you are designing for, and most cafe sites in India were never built for it.

We build the site around two actions: come in, or order direct. The menu sits in a small admin panel that your manager updates from a phone when the espresso blend changes or a price moves. Ordering and table booking run on your own domain, so a ₹600 order stays a ₹600 order instead of losing a fifth of it to an aggregator. Discovery happens on Instagram and Maps — the website is where the decision lands

Three things kill it at that moment. A menu published as a PDF that opens as a pinch-and-zoom mess, and which is eighteen months out of date because updating it means going back to whoever designed it. Photos that are not of your cafe — latte art from a stock library instead of your counter, your seating, your light at four in the afternoon. And no straight answer to “are you open now, and how far is it”, because the timings are buried in the footer and there is no Google Maps link at all.

The commercial part matters more than most owners admit. Aggregators take roughly 20–30% of every delivery order, and they keep the customer relationship with it: you never learn who ordered, so you cannot bring that person back yourself. A regular who takes a ₹450 breakfast twice a week is worth a great deal more ordered direct. Your website will not replace Swiggy or Zomato and should not try to on day one. But repeat customers, pickup orders, office trays and party platters do not need an aggregator at all, and those are the orders with the best margin on them.

Then there is everything an aggregator listing simply cannot hold. Private-event hire for a birthday or a book club. The corner table that laptop regulars want, with plug points and a day rate. A monthly coffee pass that turns an occasional visitor into a Tuesday regular, because it is already paid for. Roasted beans and brew kit posted anywhere in India. None of that fits inside a delivery app, and each line carries better margin than a discounted flat white.

The menu panel, the ordering flow and everything wired around them

  • Menu with prices in an editable panel — sections, item photos, veg and non-veg marks, a sold-out toggle and seasonal specials. No PDF, and no phone call to us to change a price.
  • Photographs of your actual room — counter, seating, plating, the afternoon light. We guide a two-hour phone shoot or source licensed images while yours are pending.
  • Live open or closed status driven by your real timings, with a Google Maps directions button and a note about parking and the nearest landmark.
  • Table reservation with party size, date and slot, capped per slot so a Saturday evening never gets double-booked.
  • Direct ordering for pickup and your own delivery radius, paid by UPI, Razorpay or PhonePe, with the ticket printing at the counter or landing on WhatsApp.
  • WhatsApp for bulk and party orders — a separate enquiry path for trays, platters and forty cups of filter coffee, reaching a person rather than an inbox nobody opens.
  • Private event and workspace booking — hourly hire, minimum spend, house rules, and a day pass for the laptop crowd.
  • Loyalty or a monthly coffee pass — recurring payment, a code the barista scans, and a redemption log the manager can check.
  • Beans, brew kit and merch store on WooCommerce or Shopify with Shiprocket or Delhivery pickup and GST invoices on every order.
  • FSSAI licence number displayed as the rules require, with allergen and contains-nuts notes at item level.
  • Multi-outlet pages when you have more than one location, each with its own timings, menu variations and Maps pin.
  • Instagram feed and reviews pulled onto the page, so the site looks as alive as your grid does.

Reservations, orders and pass sign-ups all drop into WhatsApp, because that is what a cafe team actually reads. Nobody behind a counter is keeping an email tab open through a lunch rush.

Maps will out-rank your website for “cafe near me”, and that is fine

Search that phrase and you get the map pack, then Zomato, then a listicle from some city magazine. Your website is not going to beat those for it, and spending a budget trying is money burnt. The Google Business Profile is the asset that wins there: complete every field, keep the photos current, reply to reviews, post the menu, and link the website from it.

What your own site can win is narrower and worth more. Your brand name, first of all — somebody who heard about you should land on you, not on a delivery listing. Then the long specific searches: pet-friendly cafe with parking, cafe for a birthday party booking, laptop-friendly cafe with plug points, single-origin beans delivered across India. Each needs its own page with real detail on it, and almost no cafe in this country has bothered to write them. If you sell beans or merch nationally, that is a genuine SEO case with revenue at the end of it. If you are one outlet serving a two-kilometre radius, one good website plus a well-run Business Profile is enough, and the rest of the money belongs in photography and in the room itself.

After launch the split is deliberately simple. Your manager owns the menu, prices, sold-out toggles, timings and holiday closures, trained in a thirty-minute call and working from a phone. We own hosting, backups, plugin and payment-gateway updates under the care plan at ₹1,499/month. Nobody waits on a developer to change the price of a cappuccino, and nobody on your floor staff has to think about an SSL renewal. If your team genuinely cannot spare one person to keep the menu current, say so before we start and we will build a simpler menu that stays true rather than a clever one that goes stale by March.

Yes. Our office is in Pune and roughly 60% of our clients are elsewhere in India. Delivery is remote by design: a WhatsApp group for daily updates, Google Meet for review calls, a shared content checklist so you know exactly what to send, and a 40-point check before launch. Domain, hosting, admin logins and analytics are created in your name, so nothing stays tied to us.
If you take food orders online, the licence number has to be displayed. We put it in the footer and on the ordering pages along with the registered business name and address. We also add allergen and contains-nuts notes at item level, plus veg and non-veg marks, which is what customers check before ordering a bake or a cake anyway.
First-time discovery will keep coming from the aggregators and from Maps, and there is no point pretending otherwise. Direct ordering wins the second visit: the regular, the pickup order, the office tray, the party platter. Those are the ones where you keep the full 20–30% instead of paying it out. A table card offering a small discount that only works on your own site moves this faster than anything else.

It is normal. We write the copy from a questionnaire and one call, and for pictures we either guide a two-hour phone shoot — counter, seating, three signature plates, the light in the afternoon — or use licensed stock while yours are pending. Treat stock as a stop-gap. A cafe sells its room, and your own photographs will always convert better than a library image.
