NGO Website Design

A donor who has decided to give will still walk away if the giving page asks for a login, hides the 80G number, or sends nothing to the inbox afterwards. Most NGO sites in India were built for a grant application, not for a person holding a phone at 11 pm. The registration numbers sit in a scanned PDF; the donate button opens an email address.

We build the giving path first and the rest of the site around it. Payment gateway in the organisation’s own account, UPI at the top of the list, one-time and monthly options side by side, a receipt with your 80G and PAN details sent automatically. Then the pages a serious donor or a CSR head actually reads: programmes with numbers, audited financials, trustees, Darpan and registration details. The ₹500 donor and the CSR committee want different pages

Two very different people open an NGO website in the same week. One has just seen an appeal forwarded on WhatsApp, has about a minute of patience and a phone in one hand. The other is a CSR manager with a shortlist of eleven organisations and a compliance checklist. The first wants to give quickly and know the donation is deductible. The second will not ring anyone until she has seen audited financials, the FCRA position, the Darpan ID and last year’s annual report.

Most NGO sites in India serve neither. Giving runs through a third-party portal that takes a cut and keeps the donor’s email, so the organisation never builds a list of its own. The 80G and 12A numbers sit inside a scanned certificate nobody opens. Programme pages describe intent — “holistic development of the community” — without a number, a district name or a date. Annual reports stop three years ago, which a corporate reads as a warning sign.

Timing matters more here than in most sectors. Individual giving climbs through March as people close their tax year, again around Daan Utsav in October, and during any disaster appeal, when a single Instagram story can send two thousand people to the site in an hour. An organisation that cannot put a campaign page live the same afternoon loses money in the exact week it was needed. Corporate money runs on a different clock: CSR budgets are settled early in the financial year, and a proposal a manager can download at that moment beats one she has to request by email and then wait for.

The build list, working backwards from the donate button

The build starts at the donate button and works backwards. Everything else on the site exists to answer a question that would otherwise stop someone from pressing it.

  • A donation block with UPI first, then cards and netbanking, running through Razorpay or PhonePe in the organisation’s own account — never ours.
  • One-time and monthly giving side by side, with the monthly option set up as a recurring mandate so a donor does not have to remember each month.
  • Suggested amounts tied to a stated outcome rather than round numbers, plus an open amount field, because the middle option is what most people choose.
  • An automatic receipt carrying your 80G registration number, PAN, the amount, date and mode of payment, sent by email and, if you run ZupiChat, on WhatsApp as well.
  • Campaign and appeal pages with a target, a progress bar, a closing date and a share link that opens WhatsApp with the message already written.
  • Programme pages with the district or state, beneficiary numbers, cost per beneficiary and photographs published under a written consent note.
  • A transparency section listing annual reports, audited financials, the 80G and 12A certificates, Section 8 or trust registration, Darpan ID and CSR-1, year by year, as downloadable PDFs.
  • A CSR page written for corporate partners, with a downloadable proposal, past programme summaries and a short enquiry form that lands on WhatsApp.
  • A foreign-donation page that states your FCRA position plainly, so an overseas donor is not sent to a checkout that cannot legally accept the money.
  • Volunteer signup capturing role, city and availability, feeding a sheet your coordinator already uses.
  • An impact-update signup, so the donor list stays yours rather than a portal’s.

Portals will out-rank you on “donate for education”. Aim elsewhere.

Here is the part most agencies will not say. You are not going to out-rank GiveIndia, Ketto or Milaap on a search like “donate for girl child education”. Those platforms carry thousands of pages, years of links and full-time SEO teams. Fighting them costs more than the donations it would bring back.

What you can own is narrower and far more valuable: your organisation’s name, your campaign names, your programme plus the district you actually work in, and the searches a CSR manager runs — the ones that combine a cause, a state and words like partner, proposal or Section 8. Low volume, high intent. One corporate enquiry from that group is worth more than a thousand casual visitors. Keep using the portals for reach during a campaign, then bring repeat and monthly donors to your own page, where nothing is deducted and the email address belongs to you.

The second honest point is upkeep. A transparency dashboard is an asset only if somebody uploads the audited accounts each year and the campaign numbers each month. Decide before launch who that person is — usually the programme coordinator, not the founder — and we train them on that one screen rather than the whole admin. If nobody in the office will realistically do it, ask us for a smaller site with a static reports page instead. And if ninety per cent of your funding comes from two institutional grants and you run no retail fundraising, the website is a credibility document, not a fundraising channel: take the ₹24,999 build, spend the difference on a properly designed annual report, and revisit the donation engine when individual giving is genuinely part of the plan.

No. Our office is in Pune and roughly 60% of our clients are elsewhere in India. You get a WhatsApp group for daily updates, Google Meet for review calls, a shared content checklist for reports and photographs, and a 40-point check before launch. The domain, hosting, payment gateway, admin logins and Analytics are all created in your organisation’s name, so nothing afterwards depends on us.
Only if your organisation holds valid FCRA registration and the money reaches your FCRA-designated bank account. An ordinary Indian payment gateway must not be used for it. We build a separate page stating your FCRA position, explaining who may give and how, and send everyone else to the Indian donation flow. If you do not hold FCRA, we say so plainly rather than let a donor abroad fail at checkout.
Yes. Each donation triggers a receipt carrying your 80G registration number, PAN, the donor’s details, amount, date and payment mode. Be clear that this receipt is an acknowledgement, not a replacement for your statutory filing — your accountant still files Form 10BD and issues Form 10BE for the year. We add a donor PAN field at checkout so that filing is not a scramble in May.
Use both, for different jobs. A portal gives reach and a ready payment path during a campaign, and takes a share of every donation along with the donor’s contact details. Your own page costs nothing per transaction and keeps the relationship, which is what makes the second and third donation possible. Run appeals on the portal where it helps, and point repeat and monthly donors home.
No. We write the copy from a questionnaire and one call, and either source licensed stock images or guide a phone shoot at a programme site. One rule we hold to: beneficiary photographs go up only with written consent, and we never publish a child’s full name beside a location. Where consent is unclear we use representative images and let the numbers do the work.
