Website Development for Schools and Colleges in Pune: An Admissions Guide

September 4, 2026 Uncategorized

Why most school websites fail at their only job

A school website has one commercial purpose: convert a parent who is comparing three schools into a parent who books a campus visit. Almost every school website in Pune fails at it for the same reasons – the fee structure is missing, the admission process is buried, the site takes eight seconds to load on a phone, and the enquiry form goes to an address nobody checks.

The design is rarely the problem. What is missing is the specific information a parent needs to make a decision, presented quickly.

What parents are actually looking for

In roughly this order, and usually on a phone, late at night.

What they want Why it matters What schools usually do
Fee structure The first filter. Everything else is irrelevant if the fees are out of range. Hide it, forcing a phone call the parent does not want to make yet.
Admission process and dates Parents are anxious about missing a deadline. A PDF from two years ago, or nothing.
Board and affiliation CBSE, ICSE, SSC or IB is a decision-level fact. Mentioned once in a paragraph about our legacy.
Location and transport Daily commute decides more admissions than curriculum does. An address in the footer, no route or bus information.
What the place looks like Parents want to see real classrooms, labs, playground and children. Stock photographs of foreign students in a library.

Publish the first four clearly and your enquiry quality improves immediately, because parents who contact you have already qualified themselves.

Structure that works for admissions

A dedicated admissions section, not a page. Process, eligibility, dates, documents required, fee structure and a prominent enquiry path. This should be reachable in one tap from the homepage.

A page per programme or stream. Pre-primary, primary, secondary, or for colleges each course. Parents and students search for the specific programme, not the institution name.

A real gallery. Actual photographs of your campus, updated after every event. This is the single cheapest credibility upgrade available to a school and most neglect it.

Faculty with substance. Names, qualifications and subjects. Anonymous experienced faculty convinces nobody.

Results and placements, honestly. Board results, toppers with permission, and for colleges genuine placement data. Inflated numbers are noticed and damage trust more than modest ones ever would.

A notices section that is current. Nothing signals neglect like a homepage announcing an event from 2024.

Speed and mobile, because parents are on phones

School websites are unusually heavy. Large uncompressed photographs from the annual day, sliders with a dozen images, and PDF prospectuses that download automatically. The result is a site that takes many seconds to open on a phone on a mobile network, which is exactly how most parents arrive.

Three fixes cover most of it: compress and serve images in modern formats, stop auto-loading the gallery on the homepage, and put the essential information in text rather than inside images and PDFs. Text can be found by search engines; a scanned circular cannot.

Cost bands

Scope Cost (excl. GST) Includes
Single school Rs. 45,000 – Rs. 1,20,000 Admissions section, programme pages, faculty, gallery, notices, enquiry handling, mobile performance work
College Rs. 1,50,000 – Rs. 4,00,000 Department and course structure, placement section, research or activity pages, larger content build
Group of institutions Rs. 3,00,000+ Multiple campuses, shared brand system, per-campus admissions and enquiry routing
ERP integration Quoted separately Connecting the site to an existing student management or fee system

ERP integration is the line that varies most. If your existing system has a usable API, it is straightforward. If it does not, be cautious about promises to connect them – this is where education web projects most often overrun.

The enquiry gap

Here is the part that decides admissions, and almost nobody builds it.

A parent enquires at 10pm. Nothing happens until someone opens the inbox at 11am the next day, if they open it at all. By then the parent has spoken to two other schools. The website did its job and the process lost the admission.

What works instead: an immediate acknowledgement with the course details and fee structure, so the parent has what they need while they are still interested, followed by a counsellor the same day. Most schools now run this over WhatsApp because parents read it, and we build it on ZupiChat so every enquiry lands in one shared inbox rather than a counsellor’s personal phone. The same system then handles fee reminders and circulars, which is where it pays for itself the rest of the year.

What about a mobile app?

Schools ask for this often and usually should not build it first. Parents want circulars, fee reminders, timetables and results, and all of that arrives more reliably over WhatsApp than through an app families install once and never open. Build the app when you have genuine daily engagement to put in it. Our guide to mobile app development cost in Pune sets out what that actually involves before you commit.

Where to start

If admission season is close and the budget is limited, do these four things in order and skip everything else.

  1. Publish the fee structure and admission process clearly, in text.
  2. Make the site fast on a phone – compress images, remove the auto-loading gallery.
  3. Put a WhatsApp enquiry button on every page and staff it.
  4. Send an instant, useful acknowledgement to every enquiry.

That combination outperforms a full redesign at a fraction of the cost. The redesign can follow once the admissions pipeline is no longer leaking.

Frequently Asked Questions

How much does a school website cost in Pune?

A well-built school website with admissions pages, faculty profiles, a gallery and enquiry handling costs Rs. 45,000 to Rs. 1,20,000. Colleges with department structure, multiple courses and placement sections run Rs. 1,50,000 to Rs. 4,00,000. Add 18% GST. Integration with an existing ERP or student management system is quoted separately and is usually the largest variable.

What do parents actually look for on a school website?

Fee structure, admission process and dates, board affiliation, location and transport, and what the school actually looks like. Fees are the most searched and most often hidden item. Schools that publish a clear fee range receive fewer time-wasting enquiries and more serious ones, because parents self-qualify before contacting you.

Should the website show fees?

Publishing at least a range is almost always better than hiding it. Parents will find out eventually, and hiding it filters out serious families while attracting enquiries from people who leave the moment they hear the number. A clear range with what it includes builds trust and reduces the load on your admissions desk.

Do schools need a mobile app?

Most do not, at least not first. Parents want fee reminders, circulars, timetables and results, and all of that works well over WhatsApp without asking families to install and maintain an app. Apps make sense for large institutions with genuine daily engagement. For most Pune schools an app becomes an expensive, half-used asset.

How do we handle admission enquiries from the website?

Route them somewhere accountable rather than to a shared email nobody owns. The strongest setup is a WhatsApp enquiry path with an instant acknowledgement containing course details and fee structure, followed by a counsellor within the same day. Admission enquiries go cold within days, so speed of first response matters more than the polish of the reply.
