School Website Design

A school website gets judged in about six weeks a year. From late December to February, parents open twenty tabs on a phone, compare fee structures, look for the affiliation number, and shortlist three names before anyone picks up a call. The rest of the year the same site sits idle while the office answers the same questions on the phone: fee, timings, transport route, board.

So we build the site around that calendar. The enquiry form is the spine — class applied for, board, area, parent’s WhatsApp number — and it lands in the front office within seconds instead of an inbox nobody opens. Everything a parent asks before enquiring sits on its own page: fee structure, mandatory disclosure, transport routes, results. What a parent checks before they ring the school office

Search around schools is narrow and repeats itself every year. A parent types the school name with the locality, or “CBSE school admission fees”, and then does something predictable: opens three tabs and closes the two that do not show a fee structure. Directory portals such as Edustoke, SchoolMyKids and UniApply already own the broad phrases and will keep owning them, because they carry hundreds of listings and thousands of parent reviews. Competing with them on those terms is not worth funding.

What a school genuinely owns is its own name, its board and affiliation number, its locality, and the questions no portal answers properly: the transport route through a particular colony, the exact fee heads term by term, this year’s Class XII toppers, whether Nursery seats are still open. Those pages convert, and they are cheap to rank because nobody else can write them.

The losses happen elsewhere. The prospectus is a 12 MB PDF that never finishes downloading on a phone. The mandatory disclosure page CBSE asks for either does not exist or links to scans nobody can read. The enquiry form wants eleven fields including the child’s Aadhaar number, so it stays empty. The last circular is dated 2019, which tells a parent more about how the office runs than any infrastructure gallery will. And most of it was built for a desktop, while the January traffic is largely a mother on a phone at ten at night, holding your fee table against two other schools.

The enquiry form, the disclosure page and everything between

A school site serves three audiences at once — prospective parents, current parents and the management — so the navigation has to separate them within one tap. The enrolment half of what follows is running live in the demos on this page: Ascent Academy for courses and admissions, Atlas Institute for programme enrolment.

  • An admission enquiry form with the four fields that matter — class applied for, board, locality, parent’s WhatsApp number — delivered to the front office as a WhatsApp message and an email.
  • A fee structure page as real text rather than a scanned image, with term-wise heads, one-time charges, transport slabs and the sibling concession.
  • Prospectus download that actually opens on a phone: the PDF compressed under 2 MB, and the same content repeated as a readable page.
  • The CBSE mandatory disclosure page in the prescribed table — affiliation number and validity, trust details, land documents, fire and building certificates, staff strength — each file linked separately.
  • Board, affiliation number and year of establishment in the footer of every page, which is the first thing a careful parent looks for.
  • Academics split by stage, with Class XI streams and subject combinations written out, because that decides transfers in from other schools.
  • Infrastructure, laboratory and sports galleries converted to WebP, so a sixty-photograph gallery still loads on a weak mobile connection.
  • A transport page listing pick-up points area by area with timings, which removes a good share of the office’s daily phone calls.
  • Results and toppers year by year, Class X and XII, carrying only the names the school holds consent to publish.
  • Circulars, the holiday list and the academic calendar in a section the office updates itself, without a developer in the loop.
  • A Parent Login button in the header pointing at your existing ERP, whether that is Entab, Campuscare or Fedena.
  • Safety stated plainly — CCTV coverage, verified drivers and attendants, medical room, and the committees a school is required to run.

Alumni registration, a virtual campus tour from a 360 embed or a two-minute phone video, and a parent sign-up flow of the kind on Gadget Free Hours for holiday or after-school programmes sit on top of that when they earn their place. Underneath, it is the same web development service we run for every sector; only the pages change.

Why school sites die in March, and who keeps this one alive

Every school site in the country looked fine on the day it launched. They rot in the same place — circulars stop, the holiday list stays on last year’s, the toppers page still shows an old batch — and at the next admission season a parent reads all of that as neglect. The build is not the hard part; deciding who owns the site on an ordinary Tuesday is.

So we settle that before handover. The office assistant gets the login and a fifteen-minute walkthrough for four jobs only: post a circular, change the calendar, add photographs, update the fee page once the trustees approve it. Anything structural stays with us on the care plan at ₹1,499 a month. Domain, hosting, Search Console and Analytics are created in the school’s own name, so nothing is hostage to an agency, ours included.

Two honest limits. A coaching class or a playschool taking thirty children a year, all of them by referral, does not need ₹49,999 spent here — the ₹24,999 site with a clean fee page and a WhatsApp button is enough, and the difference is better spent on photographs of the campus. And a single-campus school should not buy monthly SEO in its first year to chase “best CBSE school” phrases the portals hold. Complete the Google Business Profile, collect reviews from current parents, rank for the school’s own name and locality-plus-board searches, and revisit the spend when a second branch or a new stream makes it pay.

Most schools take Business Pro + SEO at ₹49,999 for up to 15 pages plus a circulars blog. Extra pages are ₹1,999 each and the care plan is ₹1,499 a month. All prices exclude 18% GST, paid 50% to start and 50% at launch.
Our office is in Pune and roughly sixty per cent of the schools we work with are elsewhere in India. Everything runs on a WhatsApp group for daily updates, Google Meet for the review calls, and a shared content checklist for the photographs, fee table and disclosure documents. We have never needed to sit in the staff room to build a school site.
Yes. It goes up in the prescribed table layout — affiliation number and period, society or trust details, land and building documents, fire and safety certificates, staff strength, fee heads and the managing committee — with each certificate linked as a readable PDF. You supply the current documents; we do not draft or certify them, and the school stays responsible for keeping the figures up to date.
Only where the school holds written consent from the parent, and we build with that in mind. Wide activity and classroom shots carry the campus without identifying any one child, close portraits are used sparingly, and no child’s name is printed beside a face. We also set up a takedown route so a parent’s request can be honoured the same day.
No. The ERP stays exactly where it is. We put a Parent Login button in the header that opens your existing portal, because a large share of the daily traffic to a school site is a parent heading straight to fee payment or the report card. Replacing an ERP is a different job and is rarely worth doing mid-session.
Start by September or October. The build takes 7–10 working days for the ₹24,999 site and two to three weeks for Business Pro, but the delay is almost always at your end: fee tables approved by the trustees, disclosure documents scanned, and a photo shoot on a day the campus looks full. Beginning in December means going live after parents have already shortlisted.
