A brand manager with a national sales meet to run in February will build her shortlist in one afternoon. She opens six agency websites, and four of them are a video reel with a contact form. Nothing tells her whether you have handled 1,200 delegates across three days, which cities you can execute in, or whether your GST and empanelment papers are ready.

How a corporate buyer actually builds the shortlist
February and September are when the phone rings. A national sales meet, a dealer conference, a product launch, an annual day — the brief lands with a marketing or admin manager who has a date, a city, a delegate count and a budget band, and about one afternoon to find three agencies to invite.
She searches, asks two colleagues, and opens six websites in tabs. What loses the slot is predictable: a home page that is one long showreel, a service list that says “conceptualisation and execution” without a single number, no proof of anything at her scale, and an enquiry form with three fields. Instagram is where this industry lives, and it shows — plenty of agencies have forty thousand followers and a website nobody has touched since the domain was bought.
The social side searches differently. A family looks at reels first, then checks whether you exist as a registered company with an address and a proper invoice. Both audiences land on the same home page, which is why one home page written for a pharma procurement team and a bride at the same time tends to convince neither.
Traffic here is seasonal. It climbs from September, peaks through the offsite and wedding months and drops by March — and that peak is exactly when nobody in the office has time to update anything. Whatever the site says in August is what it will say all season.
From the RFP form to the ticket counter
The build follows the way an enquiry actually travels — vertical page, scale check, deck download, form, reply the same evening.
- Separate pages for MICE and conferences, product launches, exhibitions and trade shows, annual days and dealer meets, artist management, and wedding and social work — each with its own enquiry route.
- An RFP form that captures event date, city, expected footfall, indoor or outdoor, budget band and whether production is in scope; it reaches you on WhatsApp and email with all six fields filled.
- Case-study pages built around numbers — delegates, days, venue, stage size, crew strength, cities covered — so you send a link instead of a 40 MB deck on WhatsApp.
- A capability deck download behind name, company and work email, with every download logged so your sales team knows who is reading it.
- A client logo wall with a permission field in the admin: no logo goes live until written consent is recorded against it.
- Pages for production, AV, stage and rigging, branding and fabrication, and hospitality, each stating plainly what you own and what you hire.
- A venue and vendor network page listing the cities you can execute in, so nobody has to ask whether you travel.
- Ticketing for public events — a Razorpay or UPI checkout with GST invoicing for your own shows, or an embedded partner widget when the venue has already fixed one, as on the Teatro Vermiglio demo.

The photographs you are not allowed to publish
Most of the best work an event company does cannot go online. A pharma launch sits under a confidentiality clause, a brand controls every frame of its dealer meet, and a private family says no photographs at all. The usual response is to publish the logo anyway and hope nobody notices. One notice from a legal team costs more than the whole website.
The way out is the unnamed case study. “A listed pharmaceutical company, 1,200 delegates, three days, two cities, 40-foot LED backdrop” convinces a procurement manager nearly as well as the logo would, and it is safe to publish. Keep the logo wall for clients who have said yes in writing, and store that consent next to the logo so whoever uploads next season does not have to guess.
After launch the site goes stale in the first busy season unless one named person owns it, and that person is the client-servicing executive, not the founder. The task is small: one case study within ten days of every event, eight fields and a photo upload. We hand that over on a call, and keep a care plan at ₹1,499 a month for agencies who would rather send us the photographs on WhatsApp.
Two honest limits. If your work comes from two agency retainers and you never pitch cold, a ₹24,999 site with a good deck is enough — skip the monthly SEO retainer until you start pitching. And on the wedding side, the large listing portals hold the head terms and are not going to hand them over; pay for the listing, and let your own site be the page that closes the family once they click through.
